Invite your team: logins, roles and permissions

Open Team from the sidebar (Business and above). The seats box shows what's in use — active logins plus pending invitations both reserve a seat.

Invite someone

  1. Under Invite a team user, enter their email and pick a role.

    Owners can invite admins, members or site supervisors; admins can invite members and site supervisors.

  2. Click Invite.

  3. They get a join link — or copy the Share link from the pending invitation and send it yourself.

    Owners can cancel any pending invitation. Admins can cancel member or site supervisor invitations, but not an invitation for another admin.

Manage roles

Owners can switch a person between member, site supervisor and admin, or Remove them, from the same page. The owner's own row is fixed — ownership doesn't transfer here.

The site supervisor role (field-only)

A site supervisor sees only Projects and Help Centre in the sidebar. Picking a site opens it straight on Site Diary, and inside a project they get exactly five tabs: Site Diary, Inspections, Incidents and Photos — with field write access to each — plus Crew, which is read-only apart from Reset PIN. Permanent incident deletion remains owner/admin-only because incident records may be RIDDOR evidence. They see only the projects you assign them: on the Team page, open Sites under their row and pick the saved sites (or single projects) they cover. A site assignment includes every job at that site, including ones created later. Until you assign something, their project list is empty.

In the native mobile app, the same login gets an assignment-only site picker and the four field areas: Site Diary, Inspections, Incidents and Photos. The native picker contains only the site name, address and status; documents, contacts, safety setup, workers and account settings are not downloaded. Use the responsive web app when the supervisor needs the restricted Crew / Reset PIN action.

They cannot open documents, workers, subcontractors, the Team page, settings or billing — those pages simply send them back to their project list. They also cannot be picked as a document approver.

Use it for a foreman or working supervisor who keeps the daily site record but should not see the rest of your account.

Frequently asked questions

Does an invited teammate need their own subscription?

No. Admins, members and site supervisors use the plan and billing state of the account they joined. Only the account owner manages that subscription; a site supervisor cannot open account or billing settings.

What can each role do?

Members can work in the account. Admins can also manage projects and site access, and invite members or site supervisors. Owners can additionally manage the team itself — change roles, remove members and invite admins. Site supervisors are different: they get a field-only login that can write the Site Diary, Inspections, Incidents and Photos only on the sites or one-off projects you assign, plus a Crew tab listing those sites' worker names and PIN status so they can reset a forgotten sign-off PIN — and nothing else.

What is a site supervisor login for?

For someone who runs the site day to day but should not see your documents, pricing or settings. They log in, pick a project, and can fill in the Site Diary, record Inspections and corrective actions, log Incidents and add Photos. They also get a Crew tab — the site's worker names and whether each has a sign-off PIN set, with one action: reset it. No contact details, no editing, no crew link. A site supervisor uses a normal team seat.

Do site portal users count against my team seats?

No. Team seats are internal logins. Site portal users (workers, subcontractors, visitors using the portal) are managed per project and counted separately.

How many logins do I get?

Business includes up to 10 internal team logins as standard (£199/mo). The Team page shows how many seats are reserved, including pending invitations.
