Store company documents: insurance, policies, certifications

Available on all plans

Open Settings → Company Docs (or Company Documents from the settings menu). This is the company-level filing cabinet — separate from project documents, and separate from your workers' certs.

Add a document

  1. Click Add Document.

  2. Pick the category and label it.

    Categories: Insurance, Policy, Certification, Other — with common labels like Public Liability Insurance and Health & Safety Policy ready to pick.

  3. Upload the file and set its expiry date, then click Save.

    The expiry drives the amber/red renewal status on the list. In the mobile app (Settings → Company documents+ Add document), pick Photo for a picture of the paper document or File for a PDF or Word file — on Android, Photo opens the system photo picker and shares only the image you select.

Frequently asked questions

What should I store here?

Company-level paperwork you get asked for on every job: public liability, employers' liability and professional indemnity insurance, your health & safety and environmental policies, and certifications. Store it once — it's available across all your projects.

Does it track expiry?

Yes — give a document an expiry date and its status turns amber as renewal approaches and red once expired, so a lapsed insurance certificate can't sit unnoticed.

What file types can I upload?

PDF, DOC, DOCX, or an image (JPG, PNG, WebP, HEIC).

Does the mobile app need access to my photo library?

No on Android: Photo opens Android's system photo picker and The Site Book receives only the image you select — no photo-library permission is requested. On iPhone or iPad, iOS may ask for photo-library access; you can limit it in iOS Settings. File opens the system file browser and needs no photo permission on either platform.
